[Fix] Restricted View permission level missing in SharePoint Online site library

SharePoint Online provides an OOTB (Out Of The Box) permission level "Restricted View" which can be used to assign read access with restricted download. When assigned, users can view documents, list items and pages but cannot download files.

Restricted View - Can view pages, list items, and documents. Documents can be viewed in the browser but not downloaded.

You want to restrict download for users but cannot find Restricted View permissions when
- clicking on Edit User Permissions
- under 'Choose the permission level group members get on this site' when creating a new group


Is your library empty ? Add a file in the library and check again.

Restricted View permission appears only when you have atleast one file in the document library. If you have an empty library, the permission is not seen until a file is added.

Add a file in the library and then navigate to the permission settings page, and you should see the Restricted View permission option.


  • I was playing around with Microsft Lists recently and wanted to restrict delete permissions, but could not find a way to set custom edit permission without delete access.

  • Crap, this is nonsense. I set restricted view for all users on library with unique permissions and they could not even access the home page, it says you do not have access. Had to revert to read access.

  • My library has many files and folders, its a sub site. I even checked site collection permissions level, but could not find restricted read/view. Any feature to be enabled or something?

  • Does this apply to SharePoint 2010 version? Can't find the option. I have exactly similar requirement from one of my client.
